Student Contact Check#

The student contact check tool allows you to easily check for many common configuration issues with student accounts. You can use it to help ensure you have a high quality of information about each student and their contacts.


Summary#

A summary of the information is shown at the top of the page, it’s designed to show an at-a-glance position for the school student contact data. It shows:

  • Failed Students

    • The number of students that failed one of the required checks.

  • Students with Warnings

    • The number of students that have one or more warnings from the optional checks.

  • Successful Students

    • The number of students that successfully passed all checks.

  • Contacts with Warnings

    • The number of contacts that have one or more warnings from the optional checks.

  • Successful Contacts

    • The number of contacts that successfully passed all checks.

  • Students with No Contact Emails

    • The number of students that have no contacts with an email address.

  • Students with No Contact Phones

    • The number of students that have no contacts with a phone number of any kind.

  • Students with No Contact Mobiles

    • The number of students that have no contacts with a mobile number.


Student Checks#

The following checks are carried out at the student level.

Number of Contacts#

Each student will be checked to ensure that they have at least one contact linked to their account. If this check fails the student will fail the check and be shown in the failed students section.

Caution

The school are legally required to have emergency contact information for every student so you should fix any issues of this type as soon as possible.

You’ll also be shown a warning when the student only has one contact linked to their account. In this case you may decide not to act on this warning as you’ve met your legal requirement.

Tip

We would recommend you have at least 2 contacts for each student to ensure you can reach a responsible adult in the event of an emergency for every student.

Contacts with Parental Responsibility#

Each student will be checked to ensure that they have at least one contact with parental responsibility linked to their account. If this check fails the student will fail the check and be shown in the failed students section.

Tip

Without at least one contact having parental responsibility no-one will be able to make decisions about the student.

No Contacts with an Email Address#

Each student will be checked to ensure that they have at least one contact with an email address. If this check fails the student will fail the check and be shown with a warning.

Tip

This is important as without one of the student’s contacts having an email address you won’t be able to communicate with them.

No Contacts with a Phone Number#

Each student will be checked to ensure that they have at least one contact with a phone number. If this check fails the student will fail the check and be shown with a warning.

Tip

This is important as without one of the student’s contacts having a phone number you won’t be able to contact them in the event of an emergency.

No Contacts with a Mobile Number#

Each student will be checked to ensure that they have at least one contact with a mobile number. If this check fails the student will fail the check and be shown with a warning.

Tip

This is important as without one of the student’s contacts having a mobile number you won’t be able to communicate with them.

No Contacts with a Set-Up Account#

Each student will be checked to ensure that they have at least one contact that has completed their account set-up process. If the check fails the student will fail the check and be shown with a warning.

Tip

This is important because without a set-up account none of the student’s contacts are able to log in and view the student’s full dashboard and support them with their education.


Contact Checks#

The following checks are carried out at the contact level. These allow you to see any potential issues with individual contacts even when the student has passed the other checks. Each contact will be displayed with a red cross for a failed check or a green tick for a successful check. You can see the name, relationship and priority for each of the student’s contacts.

No Email Address#

Each student contact will be checked to see if they have at least one valid email address.

Tip

Without an email address you won’t be able to communicate with this user through built in email functionality.

Can Be Emailed#

Each student contact will be checked to see if their preferred email address is on the suppression list.

Tip

If the users email address is on the suppression list you won’t be able to communicate with this user through built in email functionality. User’s emails could end up in this list if they were unable to be delivered to their email address several times (this is called a bounce). Emails are automatically added here for a number of reasons:

  • If an email repeatedly bounces due to a variety of causes.

  • If the user reports your emails as spam via their email providers.

  • Technical reasons around ability to deliver emails to the inbox.

  • Legal requirements related to unsubscribes from users.

Caution

If you wish to remove someone’s email from the suppression list we recommend you get written consent to do so and keep a record of these somewhere. A simple email inbox would be acceptable. This is because under UK GDPR you are required to have proof that people opted in to communication and once they opt-out you would be required to prove that they asked to be opted back in.

No Mobile Number#

Each student contact will be checked to see if they have a mobile number.

Tip

Without a mobile number you won’t be able to communicate with this user through built in SMS functionality.

No Phone Number#

Each student contact will be checked to see if they have a phone number.

Tip

Without a phone number you won’t be able to call the contact in an emergency situation.

Account Set-Up Complete#

Each student contact will be checked to see if they have completed their account set-up.

Tip

Without a set-up account the contact won’t be able to log in to support the student with their education.

Parental Responsibility#

Each student contact will be checked to see if they have parental responsibility.

Tip

Without parental responsibility the contact won’t be able to log in and see the student’s profile and support them with their education.
