Initial Setup#

Before you can start accepting applications you need to complete some initial setup steps. Some of these will need to be repeated each year in order to reset for a new year of applications.

Tip

The system contains a tool that will highlight the things that don’t look quite right. You can access this from the side menu by clicking the Admissions > Tools > Readiness Check option. See Readiness Check for more information about this process and the checks it performs.

Tip

The configuration below applies to a single academic years worth of applications. You will need to update the information for each new year of applications. The End of Year Rollover tool is designed to remove most of the work associated with this, you can access this tool from the side menu by clicking the Admissions > Tools > End of Year Rollover option.


Academic Years#

The academic year that new applications are for should be added to the Academic Year list. You can access this list from the side menu by clicking the Admin > Configuration Lists > Academic Years option.


Courses#

The courses that the school offer should be entered. You can access this list from the side menu by clicking the Admissions > Applications > Courses option. See Courses for more.


Option Blocks#

The option blocks that the school uses should be added. You can access this list from the side menu by clicking the Admissions > Applications > Options Blocks option. See Option Blocks for more.


Option Block Courses#

The mappings between option blocks and courses should be configured, these determine which subject choices are available for an applicant to select on their application. You can access this list from the side menu by clicking the Admissions > Applications > Option Block Courses option. See Option Block Courses for more.

Tip

Application statuses are customisable, you can configure the status names and descriptions for the existing statuses or add your own to customise the process. You can access this list from the side menu by clicking the Admissions > Applications > Statuses option. It’s important to select the correct configuration for the statuses as these identify where the applications are in the process. See Application Statuses for more.

Tip

You can add additional questions to your applications by adding them. You can access this list from the side menu by clicking the Admissions > Applications > Additional Questions options. See Additional Application Questions for more.


App Settings#

There a number of app settings that provide you with customisation options for how you want to use the system. The settings that require input from you are detailed below but you should review all of the settings to ensure their default values match your desired behaviour.

Applications for Academic Year Setting#

Ensure the Applications For Academic Year setting contains the academic year that you’re currently accepting applications for.

Application Activity Notifications Setting#

Ensure the group selected in the Application Activity Notifications setting is the group that should receive notifications about applications and that it contains the correct users. You can add/remove users from the default group to ensure the right people stay updated. You can manage the groups membership from the side menu by clicking Admin > User Defined Groups > View / Edit option.

Application Deadline Date Setting#

Ensure the Application Deadline Date setting contains the deadline date for applications for the selected academic year.

Open Applications On Setting#

Ensure the Open Applications On setting contains the date that you’d like to start accepting applications for the selected academic year.

Close Applications On Setting#

Ensure that the Close Applications On setting contains the date that applications should stop being accepted for the current academic year.

Highlight Applicants Born Outside#

Ensure that the Highlight Applicants Born Outside setting contains the correct date range for expected applicant date of births. This allows you to identify applicants that may require additional assistance or processes being applied to. For example, if you have an older applicant that is over 18 you may need to implement additional checks or safeguards.

School Application Review Statuses#

Ensure that the School Application Review Status setting is set to the status that you would like applications to be changed to when an applicant first submits them. This can be used to allow the school to give each application an initial review before moving it onto a more formal ‘received and processed’ status.
