Reporting#

Reports are used to provide insight into activities within the Sixth Form Admissions module.


Action Required Applications Report#

The action required applications report provides a way to view the applications that have their action required option set to yes.

The following parameters are available:

  • Academic Year - The academic year that the statuses are in

  • Application Types - The application types to include.

  • Statuses - The list of statuses that are available in the selected academic year. (This is only populated once the academic year is selected)

Once the reports parameters have been selected, click the Run Report button to view the reports output.

Tip

This report is particularly useful when you’re trying to confirm that you’ve responded to everyone’s questions. It allows you to find any application that you may have accidentally removed the notification for any associated work.


Additional Questions Data Report#

The additional questions data report allows you to easily access all of the applications that have provided a specific answer to one of your additional questions.

The following parameters are available:

  • Academic Year - The academic year that the applications are in.

  • Answer - The answers that should be included in the results.

  • Application Types - The application types to include.

  • Questions - The questions that should be included in the results.

  • Status - The list of statuses that are available in the selected academic year. (This is only populated once the academic year is selected)

Once the reports required parameters have been selected, click the Run Report button to view the reports output.

Tip

This report is particularly useful if you need to identify people that answered a question in a specific way. For example if you added a question about people applying with Non UK qualifications you might need to ask these people for additional information on their application form.


Applicant Demographic Report#

The applicant demographic report shows a list of demographical information taken from applications within the selected academic year.

The following parameters are available:

  • Academic Year - The academic year that the applications are in

  • Application Types - The application types to include

Once the reports parameters have been selected, click the Run Report button to view the reports output.


Application Activity Report#

The application activity report provides the most recent access by applicants for each application in a single place.

The following parameters are available:

  • Academic Year - The academic year that the applications are in

  • Application Types - The applications types to include

  • Status - The list of statuses that are available in the selected academic year. (This is only populated once the academic year is selected)

Once the reports parameters have been selected, click the Run Report button to view the reports output.


Application Data Report#

The application data report provides concise information about a specific application all in one place.

The following parameters are available:

  • Academic Year - The academic year that the applications are in

  • Application - The application to view data for

Once the reports parameters have been selected, click the Run Report button to view the reports output.

Tip

You can use this report when it comes to appeals to easily get a copy of all of the relevant information that may be required regarding a single application.


Application Statuses Report#

The application statuses report provides a way to view the statuses that are set up for an academic year without the user needing to have permissions to edit the status list.

The following parameters are available:

  • Academic Year - The academic year that the statuses are in

Once the reports parameters have been selected, click the Run Report button to view the reports output.

Tip

This report is particularly useful when you’re creating a status update batch.


Applications At Status Report#

The applications at status report shows a list of applications at the selected status.

The following parameters are available:

  • Academic Year - The academic year that the applications are in

  • Application Types - The applications types to include

  • Status - The list of statuses that are available in the selected academic year. (This is only populated once the academic year is selected)

Once the reports parameters have been selected, click the Run Report button to view the reports output.

Tip

You can use this report to find applications at a specific status, maybe to allow you to chase applicants that are still working on their applications and the deadline is approaching.


Applications With Main Contact Data Report#

The applications with main contact data report provides a download of the specified applications data for use outside of the system.

The following parameters are available:

  • Academic Year - The academic year that the applications are in

  • Application Types - The applications types to include

  • Status - The list of statuses that are available in the selected academic year. (This is only populated once the academic year is selected)

Once the reports parameters have been selected, click the Run Report button to view the reports output.

You can then download the reports data by selecting the appropriate download option from the results area.

Tip

This report is particularly useful if you want to perform a mail merge to create letters for sending out to applicants.


Course Selections Report#

The course selections report provides a way to view a summarised list of option block / course selections for the current applications. It shows an entry for each option block course that’s been configured and a count of applications with that course selected based on the criteria you select.

The following parameters are available:

  • Academic Year - The academic year that the applications are in.

  • Application Types - The applications types to include.

  • Include Fourth Choices - Should the fourth choices be included in the results.

  • Is Likely To Achieve - Which values should the likely to achieve option contain. (Affects internal applications only)

  • Status - The statuses that the applications are at that you’re interested in. (This is only populated once the academic year is selected)

Once the report parameters have been selected, click the Run Report button to view the reports output.

Tip

This report is particularly useful to see at a glance if any particular subject is oversubscribed. (You may wish to investigate adding another class if possible as this could increase the number of applicants you can offer places to)

Tip

You can download both a summary and the raw data from this report. This allows you to extract the course choices of applicants into an Excel spreadsheet for manipulation.


Late Applications Report#

The late applications report provides a way to view the late applications that have been submitted.

The following parameters are available:

  • Academic Year - The academic year that the statuses are in

  • Application Types - The application types to include.

  • Statuses - The list of statuses that are available in the selected academic year. (This is only populated once the academic year is selected)

Once the reports parameters have been selected, click the Run Report button to view the reports output.


Option Block Course Selections Report#

The option block course selections report provides a way for you to view application details for applications that have selected a given option block - course mapping.

The following parameters are available:

  • Academic Year - The academic year that the applications are in.

  • Application Types - The applications types to include.

  • Course - The specific course you’re interested in viewing data for. (This is only populated once the option block is selected)

  • Include Fourth Choices - Should the fourth choices be included in the results.

  • Is Likely To Achieve - Which values should the likely to achieve option contain. (Affects internal applications only)

  • Option Blocks - The option blocks that you’re interested in viewing. (This is only populated once the academic year is selected)

  • Status - The statuses that the applications are at that you’re interested in. (This is only populated once the academic year is selected)

Once the report parameters have been selected, click the Run Report button to view the reports output.

Tip

This report is particularly useful to get a list of applications that use a specific option block - course mapping in case you need to specifically send these applicants additional information.


Out of Year Applicants Report#

The out of year applicants report provides a way for you to view the application details for applications that have an applicant with a date of birth outside of the range specified in the Highlight Applicants Born Outside setting.

The following parameters are available:

  • Academic Year - The academic year that the applications are in

  • Application Types - The applications types to include

  • Status - The statuses that the applications are at that you’re interested in. (This is only populated once the academic year is selected)

Once the report parameters have been selected, click the Run Report button to view the reports output.

Tip

This report is particularly useful to get a list of applicants that may require additional action from the school to accommodate.


Potential Duplicates Report#

The potential duplicates report provides a way for you to view the applications that are potentially duplicates based on the selected parameters.

The following parameters are available:

  • Academic Year - The academic year that the applications are in

  • Fields to Check - The fields to check for duplicate information in

Once the report parameters have been selected, click the Run Report button to view the reports output.

Tip

This report is particularly useful for identifying applicants that have tried to apply multiple times.

Attention

This report identifies potential duplicates not definite ones. You should use the results of the report to review the applications and make a decision about whether they are duplicates or not.
