Emails#

Various emails are sent as part of the standard service. Each email is logged and it’s activity tracked allowing you to check on the status of emails should a user question something.

You can view the emails sent to a user from the users edit screen.


Content Retention#

Email content is retained for 14 days from the date of sending, after this time the content of the email is removed and can no longer be viewed. The other information including the email event updates are retained.


Email Events#

Each email that is sent goes through various states on it’s journey to a users inbox. Each of these stages is recorded and stored as an event for your information. It allows you to see detail of the email, for example each emails delivery time is recorded allowing you to see that an email was delivered to a user and when.

The following categories of event are recorded:

  • Queued

    • When the email is queued on the servers for processing.

  • Sent

    • When the email is sent to the message provider.

  • Delivered

    • When the message is delivered to the message provider.

  • Opened

    • When the message is opened by the recipient.

  • Clicked

    • When the recipient clicks a link within the email.


Daily Update Email#

When a user receives certain types of notifications that they haven’t seen, they may be sent an email in the evening prompting them to check for their notifications. This email is the Daily Update, the users with new (unseen) notifications will have a visible summary of these notifications within their daily update.

If the school have made data processing consent requests for a user they wil will also be shown a section that tells them they have pending data processing consent requests from the school when they receive the Daily Update.

Tip

Should a user sign in and view their notifications before the email is triggered then they won’t receive it, because they are pro-actively checking for notifications. This is the best possible form of engagement from your users.

Warning

Each user is in control over whether they receive these email updates or not. The school cannot force people to accept them. Should a user update their preferences to “opt out” of the updates they will no longer receive them.

Tip

Notifications from the Sixth Form Admissions module will only trigger an email update if the user is the main contact of an application.


Weekly Update Email#

When a user has received new notifications that they haven’t seen, they may be sent an email on Friday evening prompting them to check for their notifications. This email is the Weekly Update, the users with new (unseen) notifications will have a visible summary of these notifications within their weekly update.

If the school have made data processing consent requests for a user they wil will also be shown a section that tells them they have pending data processing consent requests from the school when they receive the Daily Update.
