Safeguarding Documents#

The safeguarding documents page shows you the documents that have been linked to the student’s account. You can see all of the documents with the most recent at the top. The documents title, file type and date of record are shown on the tab. You can download a document by clicking on the download button.

You can use the search bar, category and sub category filters to find specific documents more easily.

Tip

Some document types support online viewing. To view a document click it’s block on the tab, a preview window will open.


Creating a New Document#

To add a safeguarding document to a student’s account navigate to the student’s dashboard, click the Safeguarding Documents tab and then the “New” button at the top.

You then need to complete the information:

  • Title

    • The title of the document. You can’t add multiple documents with the same title to a student’s account.

  • Category

    • The category of the document. Used to help identify the purpose of the document.

  • Sub Category

    • The sub category of the document. Used to help identify the purpose of the document.

  • Date of Record

    • The date on which the document was added. If this is set to a future date the document wont be visible to users until that date. (Staff with permission will be able to view, edit and delete the document still)

  • Document/File

    • The physical file that you’d like to attach to the student’s record.

  • Notes

    • Add some notes about the document to help identify it’s purpose with more clarity.

Once you’ve completed the form, click the save button to add the document.


Editing A Document#

To edit an existing safeguarding document navigate to the student’s dashboard and click the safeguarding documents tab. You can then click the edit button next to the relevant document on the student’s record to be taken to the edit screen.

To edit a document’s details, update the details shown on screen and click the Save button to save the changes.

Tip

You can’t update the file itself in order to protect the integrity of the record. If you need to change the file, you should add a new safeguarding document to the student’s record.

This page is protected by the following permissions:

  • Delete Safeguarding Documents

  • Manage Safeguarding Documents

  • View Safeguarding Documents

This page is available to users with the following roles:

  • Staff Members

    • Available with permission

    • Automatically available to the school safeguarding lead

    • Automatically available to the student’s assigned safeguarding lead
